Our headquarters are located in Crete. Crete combines countless options in accommodation, gastronomy and excursions with ideally designed meeting rooms. In addition, during our many years of experience, we have developed a network of experienced and trusted partners on the island, which ensures success in this complex process of organizing a conference.

But apart from our beautiful island, we also travel and undertake the organization and holding of conferences throughout the country. Both in mainland Greece and in the rest of the islands of our country.

Our conference organization services in detail

Budget plan creation

For each conference and providing an offer according to the needs and requirements of the organizing committee.

Search for sponsors and exhibitors

Creation of sponsorship packages and consultation with them for the organization of the exhibition space and stands, always after a relevant discussion with the conference managers.

Search and suggestions of conference venues

That meet the needs of each conference. Inspection visits to the premises together with the respective organizing committee.

Provision of appropriate technical equipment

according to the needs of each conference. Collaboration with the suitable professionals for the supply of technical equipment (laptops, projectors, monitors, etc.), as well as any other equipment required (tables and chairs, tents, etc.).”

Planning and management of the social program of the conference

May include the welcome reception, the official dinner of the conference, activities, visits to places with guides and excursions.

Planning and management of the coffee breaks and lunches

in collaboration with a catering company or the venue hosting the conference.”

Hotel and restaurant reservations

We provide accommodation and dining options for the participants during the conferences we organize, anywhere in Greece.

Planning and management of all types of transportation

for example, flight, bus, and ferry bookings, etc.

Search and booking of the necessary services

from our network of partners. For example, catering, poster panels, etc.

Creation and continuous updating of the conference website

We build the conference website in collaboration with the organizing committee. Through the website, participants are able to complete all required actions (registration, payment, abstract submission, booking for accommodation, conference dinner, excursions, etc.).

Promotional actions to potential participants

As directed by the organizing committee (Newsletter, email, press releases, social media).

Provide an official Invitation letter

To any participant requests such a document.

Design and management the printed and digital material of the conference

logos, posters, banners, program book, abstract book, signage for the venue etc.

Management of other conference materials

(bag, stationery, guest speaker gifts, name tags with collar, etc.)

Creation and sending certificates of attendance/participation

to all the participants after the end of the conference.

Procedures  through our online system

Online registration to the conference

and the option of payment by credit card or by deposit to the bank account of the Conference.

Online abstract submission

for the participants as well as, online evaluation of the submissions by the Scientific Committee of the Conference.

Online reservations and payments

of hotel rooms, transportation services and reservations for the social events related to the conference program(dinner, excursions, etc.)

Financial management of the conference

Collect payments

from participants via cards and bank deposits for participation registrations and social events.

Collect sponsorships

from the sponsors of the conference. We use the sponsorships the way the organizing committee decides, in order to cover financial needs during the organization of the event.

Prepayments / Payments of suppliers

and other partners who supply services and products for the conference.

Update on the financial progress of the conference

We offer to the Organizing Committee regularly information about the incomes and expences of the conference

Post – event financial analysis

In a reasonable time after the end of the conference we provide a detailed analysis of incomes and expenses.

Sending of payment documents

(receipts/invoices) to all the participants after the conference.

Secretarial support during the conference

On-site registration

at the conference, as well as on-site bookings and payments for the social program (conference dinner, excursions, etc.).”

Control/coordination of all suppliers and partners

meeting room managers, catering managers, technicians, etc.

Signage at the venue

Announcements posts for changes in the schedule, etc.
